Executive Assistant

Our client, an established and growing organization located in the Downriver area is seeking an experienced Executive Assistant. 

 

Pay Range for the Executive Assistant is $60,000 to $80,000 per hour based on experience. Work schedule is Monday through Friday 8:00 a.m. to 5:00 p.m. with overtime during peak periods.

This is a Temporary to Hire opportunity.

 

Executive Assistant Job Duties:

Coordinate executive communications, including taking calls, responding to emails, and interfacing with internal and external industry partners
Prepare and edit internal and external correspondence, communications, presentations, and other documents for team members and industry partners
Coordinate weekly, monthly, quarterly, and annual reporting presentations for executive team meetings
Design and maintain databases
File and retrieve documents and reference materials
Research, price, and purchase office supplies
Conduct research, collect and analyze data, to prepare reports and documents
Manage and maintain executives’ meeting schedules, appointments, and travel itineraries
Arrange and coordinate third-party facilities-related initiatives, such as lawn and snow removal maintenance
Arrange and coordinate meetings and events to take place inside and outside the workplace, such as golf tournaments, fund-raising, and staff communications and appreciation events
Record, transcribe and distribute minutes of meetings
Monitor, screen, respond to and distribute incoming communications
Interact with external clients
Taking meeting minutes
Review operating practices and implement improvements where necessary
Uphold a strict level of confidentiality
Develop and maintain a level of professionalism among staff and industry partners
Other duties and tasks as assigned

 

Executive Assistant Job Requirements:

Minimum three (3) years of experience as an Executive Assistant reporting directly to C-level management
Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
Knowledge of standard office administrative practices and procedures
Strong organizational and planning skills, project management and problem-solving skills with impeccable multi-tasking abilities
Automotive industry a plus
Exceptional interpersonal skills

 

Education:

Minimum of an Associate Degree in a relevant field; Bachelor Degree preferred
